All booths must be requested at least two full working days prior to date needed. Requests may be made in person, by calling (405) 325-2121 or by using the reservation request form at www.union.ou.edu. No outside food or beverages are allowed unless special arrangements have been approved by the Union Administrative Office.
A rental fee of $1.00 per day will apply. Payment must be made prior to the dates requested. Payment may be made by cash, check, credit card, or departmental transfer. If a booth reservation is cancelled less than two full working days before the scheduled date or if the organization does not honor the reservation, the rental fee will not be refunded.
Groups must sign-in at the Union Administrative Office upon arrival each day. Booths must be staffed at all times; persons staffing the booth must stay behind the table. All literature must be confined to booth area. Groups will be held responsible for the orderly distribution of literature and for any litter created by that distribution.
Student organizations that make a reservation in the Union and fail to honor that reservation by not canceling it within 24 hours of the scheduled event will be notified of their first “no-show”. A second “no-show” will place the organization on probation. A third “no-show” will result in suspension of the organization from reserving space in the Oklahoma Memorial Union for the remainder of the present semester and the next semester.
Student Organizations may not sponsor outside groups, contractors, vendors or organizations.
Any items with OU logos/University of Oklahoma name must have prior approval from the OU licensing office. For permission to use logos, contact OU Marketing & Promotions, Oklahoma Memorial Stadium, Room 3545 or call (405) 325-7811.
Posters and/or other materials including literature must be confined to the booth area and may not be attached to the wall or other places throughout the building. Tape, nails, tacks, staples, crepe paper, tissue paper, paper ribbon, glitter or confetti is strictly prohibited in the Union building. Any damage to the building surfaces will result in a damage fee being charged to the group and possible loss of booth privileges.
Please note that submitting a booth request does not guarantee availability. You must receive confirmation from the Union Business Office staff before your booth is officially reserved. The deadline for submitting a request is two full working days prior to the requested date. Soliciting or distributing information is only permitted by reserving a booth or room and is not permitted elsewhere in or around the Union.
